Virtual Sessions- Format and Calendar

Virtual Sessions 3-Hour Format

Purpose: one monthly, open, sector-facing session that showcases all Tracks, surfaces questions, and funnels engagement into GRF’s formal monthly cycle.

Total duration: 180 minutes
Time-zone rotation (UTC): Odd months 13:00–16:00; Even months 08:00–11:00 (adjust locally in invites)

Agenda (exact timeboxes)

  • Opening & framing (10 min) — Moderator + Media/Civic Lead
  • Track Blocks (5 × 30 min = 150 min) — order rotates monthly (see tables)
    • 12 min: Chair+Deputy mini-brief (evidence & what changed)
    • 10 min: focused panel/debate with 2 guests (sector voices)
    • 8 min: audience Q&A + one simulator/demo chart (clearly labeled assumptions)
  • Cross-track synthesis & Q&A (10 min) — Facilitator
  • Closing & “what to do next” (10 min) — Moderator + Governance Secretary (links to articles, events, campaigns, jobs)

Per-block outcomes (each Track, each month)

  • One slide with 3 facts (linked), 1 uncertainty, 2 options
  • One call to action (read/report/event/campaign/job)
  • One chart/map or simulator snapshot (with a one-line “limits” note)

Prep & deliverables

  • Pre-reads due: 2 days before, 23:59 UTC (short, linked sources)
  • Session summary: 3 days after, 23:59 UTC (one-page public recap)
  • Artifacts (articles/notes/links): 5 business days after, 23:59 UTC
  • Follow-through check: 14 days after (Done / In progress / Blocked)

Roles per session

  • Moderator: Media/Civic Lead (opening/closing; on/off-record clarity)
  • Facilitator: keeps pace; neutral Q&A
  • Track Chairs + Deputies: present and answer Qs; Deputies cover time-zones/languages
  • Governance Secretary: invitations, captions/interpretation, labels (Public/Internal/Restricted), links, and deadlines in calendar

  • Chair+Deputy confirm topic (3 bullets) by the pre-reads deadline
  • Upload slide (single summary slide + one chart/map) with source links
  • Name 2 guests for micro-panel; share 3 questions in advance
  • Post-session: one paragraph recap with links to the Track’s article/event/campaign/job pages

Accessibility & compliance (applies to all sessions)

  • Live captions; slides shared beforehand
  • Clear on/off-record note at start; Public label for the event page; non-public materials shared by link only. No copyright material allowed.
  • Respect privacy; cite sources with dates; state model limits on any charts
