VIDEO, PHOTOGRAPHY, AUDIO, RECORDING, LIVESTREAM, AND MEDIA CONSENT AND RELEASE
The Global Risks Forum (GRF)
- Consent to Recording, Photography, and Media Capture
1.1 I acknowledge that The Global Risks Forum (GRF) organizes, hosts, sponsors, supports, records, documents, publishes, and archives events, programs, meetings, forums, council sessions, workshops, roundtables, interviews, briefings, trainings, public sessions, online sessions, hybrid sessions, broadcasts, livestreams, and related institutional programming.
1.2 I acknowledge that, by registering for, attending, speaking at, presenting during, moderating, facilitating, contributing to, volunteering for, appearing in, or otherwise participating in any GRF event or program, I may be photographed, filmed, livestreamed, audio-recorded, video-recorded, transcribed, captioned, quoted, screenshotted, documented, or otherwise captured in physical, digital, online, offline, public, controlled-access, internal, archival, broadcast, print, social media, or electronic form.
1.3 I hereby grant GRF, its directors, officers, employees, contractors, agents, representatives, event organizers, production teams, communications teams, archives, partners, successors, licensees, and authorized assigns permission to record, capture, reproduce, edit, publish, display, transmit, distribute, broadcast, livestream, archive, store, translate, caption, excerpt, and otherwise use my name, voice, image, likeness, appearance, statements, biography, title, institutional affiliation, presentation, remarks, performance, participation, and recorded contribution in connection with GRF’s lawful institutional purposes.
- Scope of Authorized Use
2.1 This consent applies to all photographs, audio recordings, video recordings, livestreams, broadcasts, screenshots, transcripts, captions, clips, excerpts, quotes, interviews, session recordings, event highlight materials, social media assets, website content, newsletters, publications, reports, learning materials, public-safe reports, stakeholder-engagement materials, institutional records, archives, media releases, promotional materials, and other audio, visual, audiovisual, digital, print, electronic, or online materials created in connection with GRF events and programs.
2.2 GRF may use such materials for lawful institutional purposes, including:
2.2(a) event documentation;
2.2(b) institutional communications;
2.2(c) public-safe reporting;
2.2(d) stakeholder formation and engagement;
2.2(e) education, learning, and knowledge dissemination;
2.2(f) publications, reports, summaries, and program outputs;
2.2(g) websites, digital platforms, newsletters, and social media;
2.2(h) archives, records, and institutional memory;
2.2(i) promotion of GRF events, programs, councils, forums, and public-good activities; and
2.2(j) related lawful public-good, communications, research, educational, and institutional uses.
2.3 GRF may use the materials worldwide, without time limitation, in whole or in part, in original or edited form, alone or together with other materials, and in any lawful media, format, platform, or technology now known or later developed, subject to applicable law, privacy obligations, confidentiality rules, protected-participation safeguards, and any written session-specific restrictions issued by GRF.
- Online, Offline, Hybrid, and Public Event Use
3.1 This consent applies to in-person, online, hybrid, virtual, recorded, livestreamed, broadcast, and replayed GRF events and programs.
3.2 I acknowledge that online and hybrid participation may result in the capture and publication of my image, voice, display name, username, chat comments, questions, reactions, presentation materials, screen share, institutional affiliation, and other visible or audible participation.
3.3 I acknowledge that livestreams, recordings, broadcasts, screenshots, and digital publications may be viewed, shared, accessed, downloaded, indexed, archived, embedded, reposted, quoted, summarized, or otherwise circulated by third parties outside GRF’s direct control after lawful publication.
- Speaker, Presenter, Moderator, Panelist, and Interviewee Consent
4.1 If I participate as a speaker, presenter, moderator, panelist, interviewer, interviewee, facilitator, instructor, performer, or featured contributor, I specifically authorize GRF to record, reproduce, publish, distribute, broadcast, livestream, archive, excerpt, quote, caption, translate, and otherwise use my presentation, remarks, interview, slides, visual materials, demonstration, biography, title, affiliation, and related contribution in connection with the applicable event or program and GRF’s lawful institutional purposes.
4.2 I confirm that, to the best of my knowledge, I have the right to present or provide any materials, slides, images, recordings, demonstrations, logos, data, quotations, third-party materials, or other content that I submit, display, perform, or authorize for use in connection with a GRF event or program.
4.3 I remain responsible for ensuring that my contribution does not unlawfully disclose confidential information, personal information, protected knowledge, trade secrets, privileged material, classified or restricted information, third-party intellectual property, controlled data, or other content that I am not authorized to disclose.
- Editing, Excerpts, Translation, Captioning, and Context
5.1 I authorize GRF to edit, adapt, caption, translate, excerpt, crop, format, combine, compress, enhance, transcribe, summarize, index, tag, and prepare recorded or captured materials for clarity, accessibility, length, publication, production quality, archival management, public-safe reporting, or lawful institutional use.
5.2 GRF shall use reasonable care not to knowingly alter recorded materials in a manner that materially misrepresents my substantive meaning, falsely attributes statements to me, or creates a materially misleading impression of my participation.
5.3 I acknowledge that edited materials may not include the full session, full remarks, full question-and-answer exchange, all participants, or all surrounding context, and that GRF may select excerpts, clips, images, quotes, summaries, or highlights for lawful institutional, educational, archival, communications, or publication purposes.
- Ownership, Copyright, and Intellectual Property
6.1 Subject to applicable law and any separate written agreement, recordings, photographs, livestream files, transcripts, captions, edited videos, event media, publications, archives, and derivative institutional materials created by or on behalf of GRF shall be owned, controlled, licensed, administered, or retained by GRF or its authorized production, archive, communications, or publication partners.
6.2 I assign to GRF, to the extent assignable and necessary for the authorized uses set out in this consent, any rights I may have in my recorded appearance, recorded voice, recorded participation, recorded remarks, and recorded contribution as captured in GRF event or program materials.
6.3 To the extent any moral rights, performer’s rights, neighboring rights, publicity rights, approval rights, or similar rights apply and may lawfully be waived, I waive such rights to permit GRF’s lawful use, editing, publication, distribution, broadcast, archival retention, and institutional use of the materials as authorized by this consent.
6.4 Nothing in this consent transfers ownership of pre-existing intellectual property that I independently own, except that I grant GRF a non-exclusive, worldwide, royalty-free, sublicensable, transferable, perpetual license to record, reproduce, publish, display, distribute, transmit, archive, excerpt, translate, caption, and otherwise use such pre-existing materials to the extent they are included in my authorized contribution to a GRF event or program.
- No Compensation, Royalties, or Further Approval
7.1 I understand and agree that I shall not receive compensation, royalties, residuals, license fees, ownership rights, approval rights, or other payment for GRF’s authorized use of the materials unless a separate written agreement signed by GRF expressly provides otherwise.
7.2 I waive any right to inspect or approve the final photographs, recordings, clips, transcripts, captions, translations, publications, reports, social media assets, promotional materials, or other outputs before use, publication, distribution, broadcast, or archival retention, except where required by applicable law or expressly agreed in writing.
- Privacy, Personal Information, and Data Protection
8.1 I acknowledge that GRF may collect, receive, record, store, process, publish, archive, and otherwise use personal information connected with my participation, including my name, image, likeness, voice, title, organization, biography, contact details, registration information, attendance, session participation, presentation, remarks, and recorded contribution.
8.2 GRF may process such information for lawful institutional purposes, including event administration, participant management, access control, communications, publication, reporting, education, stakeholder engagement, records management, archival retention, public-safe reporting, and related public-good activities.
8.3 GRF shall handle personal information in accordance with applicable privacy and data-protection laws, applicable event terms, applicable GRF privacy notices, and any additional written privacy or safeguarding rules issued for the relevant event or program.
8.4 I acknowledge that public participation, recorded participation, livestreamed participation, speaker participation, or participation in media-visible areas may make my name, image, voice, remarks, affiliation, and participation visible to audiences, online viewers, event participants, media, partners, public audiences, and third parties.
8.5 Where applicable law provides rights of access, correction, deletion, restriction, objection, withdrawal, or other data-protection rights, those rights may be exercised in accordance with the applicable legal framework and GRF’s relevant procedures.
- General Event Photography and Opt-Out
9.1 I acknowledge that GRF events may include general photography, video recording, livestreaming, press coverage, audience shots, venue footage, networking footage, and general event documentation.
9.2 Participants who do not wish to be photographed or recorded in general event footage should notify GRF or the event organizer before the event or as early as reasonably possible during the event.
9.3 GRF may, where reasonably practicable, provide opt-out procedures, visual identifiers, seating guidance, non-recording areas, or other reasonable measures for ordinary attendee photography and general event footage.
9.4 I acknowledge that opt-out may not be available or fully practicable for speakers, moderators, panelists, presenters, award recipients, interviewees, persons asking recorded questions, persons entering marked recording zones, persons appearing on stage, persons joining livestreamed sessions, or persons participating in sessions where recording is integral to the program.
9.5 GRF is not responsible for photography, recording, publication, posting, or sharing by attendees, media, venue operators, platform providers, or other third parties acting outside GRF’s direct authorization or control.
- Confidential, Closed, Controlled-Access, and Off-the-Record Sessions
10.1 This consent does not override any specific written confidentiality, closed-session, controlled-access, off-the-record, protected-participation, data-room, secure-room, or publication restriction issued by GRF for a particular session, meeting, interview, workshop, roundtable, briefing, or program.
10.2 Where GRF identifies a session as confidential, closed, controlled-access, off-the-record, protected, or subject to special publication rules, the specific rules for that session shall govern recording, attribution, quotation, publication, distribution, access, archival treatment, and permitted use.
10.3 I shall not record, photograph, screenshot, livestream, publish, quote, distribute, or share content from any GRF session identified as confidential, closed, controlled-access, off-the-record, protected, or restricted unless GRF has expressly authorized such action in writing.
10.4 GRF may restrict, redact, withhold, delay, remove, correct, withdraw, or decline to publish materials where GRF determines that publication may create privacy, confidentiality, legal, safety, security, protected-knowledge, intellectual-property, public-good integrity, claims-discipline, or safeguarding concerns.
- Public Communications, No Endorsement, and Claims Discipline
11.1 I acknowledge that my attendance, appearance, participation, quotation, recording, presentation, or inclusion in GRF materials does not by itself constitute GRF endorsement, certification, recognition, approval, validation, partnership, procurement status, investment support, insurance approval, public authority approval, or official standing.
11.2 I shall not represent that my participation in a GRF event or program constitutes endorsement, certification, recognition, approval, partnership, procurement status, investment support, insurance approval, public authority approval, or official GRF standing unless GRF has separately granted such status in a written, recorded, and authorized form.
11.3 I acknowledge that GRF may correct, restrict, require withdrawal of, or publicly clarify any statement, post, publication, advertisement, announcement, or representation that misuses GRF’s name, event participation, recording, photograph, logo, mark, program title, or institutional association.
- Release of Claims
12.1 To the fullest extent permitted by applicable law, I release and discharge GRF, its directors, officers, employees, contractors, agents, representatives, event organizers, production teams, communications teams, archives, partners, successors, licensees, and authorized assigns from any and all claims, demands, actions, causes of action, damages, liabilities, costs, and expenses arising out of or relating to the authorized recording, photographing, capture, editing, publication, display, transmission, distribution, broadcast, livestream, archival retention, translation, captioning, or use of my name, voice, image, likeness, appearance, statements, presentation, participation, or recorded contribution in accordance with this consent.
12.2 This release includes, to the fullest extent permitted by applicable law, claims relating to privacy, publicity, likeness, image rights, moral rights where waivable, performer’s rights where waivable, copyright interests in my recorded appearance or contribution, approval rights, compensation rights, misappropriation, and use of accurate recordings or authorized edits not knowingly made in a materially misleading manner.
12.3 This release does not waive rights that cannot lawfully be waived and does not authorize GRF to use materials in a manner that is fraudulent, knowingly defamatory, unlawfully discriminatory, or outside the scope of this consent and applicable law.
- Withdrawal, Restriction Requests, and Published Materials
13.1 I understand that, once materials have been recorded, livestreamed, broadcast, published, distributed, archived, reposted, indexed, downloaded, incorporated into publications, or shared with third parties, withdrawal of consent or removal of materials may not be fully possible.
13.2 GRF may, where reasonably practicable and legally appropriate, consider written requests to restrict future use of identifiable materials.
13.3 GRF is not required to remove, recall, suppress, retrieve, destroy, or cease retaining materials already lawfully published, distributed, broadcast, archived, relied upon, or retained for legitimate institutional, legal, evidentiary, archival, reporting, or public-good purposes, except where required by applicable law.
- Participant Conduct and Third-Party Rights
14.1 I shall not use, reproduce, publish, distribute, record, screenshot, livestream, or otherwise share GRF event materials, participant images, participant statements, confidential content, restricted-session content, GRF marks, or third-party materials except as authorized by GRF, applicable event terms, or applicable law.
14.2 I shall respect the privacy, dignity, confidentiality, intellectual property, and protected-participation rights of other participants.
14.3 I understand that unauthorized recording, publication, disclosure, or misuse of GRF event materials or participant information may result in removal from the event, termination of access, withdrawal of participation privileges, correction requirements, public clarification, or other lawful response.
- Age, Capacity, and Guardian Consent
15.1 I confirm that I am at least eighteen (18) years of age and have full legal capacity to grant this consent and release.
15.2 If the participant is under eighteen (18) years of age or otherwise lacks legal capacity to grant this consent, a parent or legal guardian must sign this consent on the participant’s behalf.
15.3 GRF may require additional consent, safeguarding procedures, school or institutional authorization, guardian authorization, or youth-participation controls for minors, students, youth participants, protected persons, or vulnerable participants.
- Authority to Sign on Behalf of an Organization
16.1 If I provide materials, slides, logos, institutional information, data, research, demonstrations, or recorded contributions on behalf of an organization, I confirm that I have authority to provide such materials and authorize their recording and use in connection with the applicable GRF event or program.
16.2 My personal consent to use my name, image, voice, likeness, appearance, and participation remains separate from any organizational authorization required for use of institutional names, marks, logos, materials, proprietary content, data, or intellectual property.
- Governing Law, Event Terms, and Severability
17.1 This consent and release shall be interpreted in accordance with the governing law stated in the applicable GRF event terms, registration terms, participation agreement, speaker agreement, host agreement, or other written event documentation.
17.2 Where no governing law is stated in applicable event documentation, this consent shall be interpreted in accordance with the law of the jurisdiction of the GRF entity responsible for the relevant event or program, subject to mandatory laws that cannot be excluded.
17.3 This consent may be supplemented by event-specific terms, privacy notices, speaker agreements, platform terms, venue rules, session rules, confidentiality terms, or safeguarding protocols.
17.4 If any provision of this consent is found invalid, unlawful, or unenforceable, the remaining provisions shall continue in effect to the fullest extent permitted by law.
- Acknowledgement and Signature
18.1 I have read and understood this Video, Photography, Audio, Recording, Livestream, and Media Consent and Release.
18.2 I understand that my participation in a GRF event or program may involve recording, photography, livestreaming, publication, distribution, broadcast, archival retention, and public or controlled-access use of my name, image, voice, likeness, appearance, statements, presentation, participation, and recorded contribution.
18.3 I voluntarily grant the permissions set out in this consent and release
I understand that my video recording(s) may never be revoked.
I understand that my consent may be withdrawn after written confirmation sent to _________.
